Description
Position Summary:
The Program Coordinator will play a key role in ensuring the smooth implementation of vocational training centers and uniform production activities. This role is responsible for overseeing financial related activities, as well as managing procurement, logistics, and inventory operations.
Key Responsibilities:
- Finance Operations
- Coordinate with HR for salary disbursement and resolve salary-related issues for vocational teachers and assistants.
- Manage petty cash processes, including issuance for new centres and reimbursements for ongoing centres.
- Prepare and manage field team visit plans.
- Raise and manage Purchase Requisitions (PRs) for:
- Centers training related.
- Uniform production needs.
- Field team logistics and travel.
- Ensure timely settlement of all advances and financial reconciliations.
- Logistics Support
- Monitor and ensure timely delivery of supplies and training materials as per operational schedules.
- Liaise with vendors for collection of quotations, procurement & delivery.
- Coordinate with training team to manage warehouse inventory inflows and outflows.
- Ensure logistical support for training events, workshops, and field visits including travel arrangements and accommodation where applicable.
- 3. Programme Operations
- Support the setup and launch of new vocational training centers, including onboarding of teaching staff.
- Monitor the day-to-day operations of training centers & productions to ensure compliance.
- Ensure timely availability of training materials, uniforms, and equipment to all centers.
- Reporting & Documentation
- Organize files and documentation in accordance with programme SOPs.
- Maintain and update tracking sheets for PRs, advances, and settlements.
- Track, tag, and manage program assets to ensure accountability and proper utilization.
Required Skills
- Proficiency in budgeting, petty cash handling, and financial reconciliation.
- Uunderstanding of procurement, vendor management, and logistics processes.
- Familiarity with finance and procurement SOPs, including vendor taxation.
- Strong coordination and communication skills to work across teams and vendors.
Education
Bachelor's degree in Accounting & Finance, Business Administration, or a related field.
Experience
2–3 years of experience in finance, procurement, logistics or coordination roles. Proficient in MS Office and cloud-based systems (e.g., OneDrive, Excel).
