Description

Zonal Fleet Administrator is responsible for the efficient and effective management of Fleet in the respective zone. The fleet includes the vans used for the pick & drop of school staff, functional vehicles provided to the operations teams and the perk vehicles provided by the company to the senior management members. Core role of the position is to ensure the fleet is operated as per the standards & specifications established by the organization. Support operations team in Planning, effective management of fleet in terms of Safety, Fuel Management, vehicle Maintenance, efficient vehicle utilization & appropriate usage as per the company policy.

Technical input

  • Provide insight and technical input in establishment of standards and
    specifications.
  • Provide input required to establish fleet related policies and procedures
    such as; Safety Policy, Fuel & Maintenance Policy
  • Provide input required by supply chain in centralize procurement of
    vehicles & Parts such as Tires, Batteries, Engine oil, filters etc.

Vehicle allocation and FIS updates

  • Allocate vehicles in FIS as and when needed.
  • Ensure all relevant data is updated by the concerned team in the system as
    per procedure established.

Vehicle Utilization & Tracking

  • Timely provision of new and replacement vehicles in liaison with Supply
    chain department.
  • Ensure vehicles are utilized efficiently as per standards established.
  • Ensure vehicles are used only for the purpose specified / intended by the
    organization and control any unauthorized / inappropriate usages of
    vehicles.
  • Liaison with vehicle tracking company for installation, repair and removal
    of tracker devices.
  • Monitor timely arrival report from tracking system to ensure timely arrival
    of school vans.
  • Monitor vehicle utilization / usage and provide feedback to concerned RCL
    & ACM.

Fuel Management

  • Ensure provision of fuel through centralized fuel vendors (where possible)
    as established by the supply chain department.
  • Liaison with fuel vendors for issuance of new fuel cards and cancellation of
    fuel vendors for fuel cards as and when required.
  • Liaison with Fuel vendors for timely billing and payment process through
    Finance.
  • Ensure all relevant data is updated in the system on timely and accurately
    in order to process timely payment of fuel invoices.
  • Ensure transparency in fuel purchased locally through decentralized
    vendors, where the centralized vendors are not present.
  • Monitor the fuel consumption as per the Architype and provide feedback
    to the concerned RLC & ACM.

Vehicle Maintenance

  • Establish maintenance vendors in different Regions within the Zone.
  • Liaison with maintenance vendors for provision of services and process
    payments.
  • Ensure all relevant data is updated in the system by the concerned staff,
    timely and accurately in order to process timely payment of maintenance
    invoices.

Vehicle Safety

  • Ensure drivers are trained for safe driving.
  • Ensure all incidents are reported and recorded as per the procedure
    established in road safety policy.

Fleet Performance Management

  • Monitor performance indicators of all fleet vehicles within the zone and
    provide feedback to the concerned staff i.e. RLC & ACMs.
  • Provide feedback to the RMs and GM on the performance of fleet as
    reflected from Op-Ex performance Dashboards.
  • Assist RLCs and ACMs in improving fleet performance indicators.

Vehicle Disposal

  • Identify vehicles due for replacement as per policy guidelines.
  • Identify replaced vehicles for restoration or disposal as per policy.
  • Liaison with Supply chain for disposal or restoration of replaced vehicles as
    per specified procedure.

Required Skills

  • Good knowledge of vehicles, fuel consumptions & maintenance requirements.
  • Excellent communication, negotiation, and interpersonal skills.
  • Proactive collaboration with internal customers.
  • Competent level skills in core IT applications, particularly MS Office (Microsoft Word, Excel, PowerPoint).
  • Attention to detail.
  • Decision-making & Problem solving skills.
  • Ability to work under pressure and minimum supervision.

Education

At least a bachelor's degree

Experience

Minimum four (4) years of work experience in managing fleet of vehicles spread across large geographical area.
